Medical Records and Referrals Specialist

Duties and Responsibilities:

Medical Records:

  • Maintains accurate medical records, following established guidelines.
  • Responds to all requests for release of patient medical records for assigned departments.
  • Ensures all requests and releases of protected health information are in compliance with HIPAA regulations.
  • Consults with the Clinical Informatics department or Corporate Compliance Officer, as needed, on medical records requests.
  • Tracks, scans and files incoming records and information, following established guidelines.

Referrals:

  • Completes referrals in an accurate and timely manner.
  • Prioritizes Providers' orders for diagnostic testing and referrals.
  • Obtains insurance authorizations for internal and external referrals, as designated.
  • Schedules referral appointments and verifies that the patient has received all recommended aspects of care, as directed by the Provider, prior to the appointment.
  • Utilizes established documentation system for tracking referrals related to specialty services, and notifies the referring Provider if patients do not adhere to the recommended plan of care and/or follow-through with referral appointments.
  • Educates patients regarding the requirements of their selected health care plan, and acts as a liaison between the referring provider, patient, provider specialists, and health plans, and works to establish rapport with all patients via an effective, hands-on communication style.
  • Remains up-to-date on referral authorization processes.

General:

  • Demonstrates superior customer services skills, including, but not limited to:
    • Interacts with all internal and external customers in a caring and respectful manner.
  • Answers telephone, responds to messages/inquiries, and routes calls in a timely and polite manner.
  • Communicates with patients and their families in a courteous, professional, cooperative and mature manner both in-person and over the telephone.
  • Attends and participates in departmental meetings, or other meetings as appropriate.
  • Assists in providing PI reports for improving quality of patient care.
  • Performs other duties as assigned by supervisor.

Qualifications:

Education and Experience:

High School diploma or equivalent. Two years medical office experience preferred. Previous experience in medical records or referrals also preferred.

Knowledge, Skills and Abilities:

  • Knowledge of HIPAA laws related to medical records.
  • Knowledge of insurance industry and health care plans including basic medical terminology/abbreviations.
  • Ability to prioritize tasks and manage time efficiently.
  • Ability to demonstrate effective customer service techniques.
  • Ability to read/write sufficiently, proof and edit routine office correspondence, reports and forms including proper use of English grammar, spelling and punctuation.
  • Ability to read, understand and follow oral and written instructions.
  • Ability to apply existing procedures to similar situations and make appropriate choices from established guidelines/procedures.
  • Ability to understand and utilize numerical, alphabetical and automated filing systems; and the ability to perform basic arithmetic calculations (addition, subtraction, multiplication, division
  • Ability to establish and maintain effective working relationships with patients, staff and the public (team player at all times) by communicating effectively, following instructions, and properly recording patient data.
  • Ability to act independently and know when to refer situations to higher level authority, or to collaborate as part of a team.
  • Ability to use discretion with confidential data and sensitive information.
  • Work with outside vendors for medical record requests.
